Privacy Notice Advance HE

This privacy notice relates to how your personal data will be used as part of a pilot study of an updated version of the Race Equality Charter (REC) survey, conducted by independent market research agency Shift Insight on behalf of Advance HE.

PurposeInformation will be collected by independent market research agency Shift Insight, to produce a full report for Advance HE.   Shift Insight’s role in this work is to: Analyse and evaluate the effectiveness of the survey as a tool for assessing how inclusive a member’s culture is for people of all ethnic groups.To identify risks and opportunities for the wider roll-out of the survey, including what support members would like from Advance HE.   Shift Insight may collect the following information, either through survey data or during workshops, interviews or feedback forums:

–          Your name and contact details
–          Details of your job role
–          Your personal characteristics: location, gender, ethnicity, sexuality, whether you are living with a disability.
 
What data we collect will be dependent upon the phase of research. We will not be collecting personal data for the survey analysis as this data will be anonymised. Our work with higher education provider staff through interviews and workshops will collect some of the above data.
Shift Insight will record and transcribe the interviews and workshops we do with higher education staff. Any personal information you disclose as part of this will be recorded. The recording is necessary to ensure analysis is carried out effectively and the views of participants are captured accurately by Shift Insight.
 
The transcripts from interviews and workshops will be pseudonymised and your name and other data that might identify you or your institution will not feature in reporting.
 
The recordings will not be shared with Advance HE and will only be used for analysis purposes. They will only be held for as long as necessary, to enable Shift Insight to analyse the results as part of the project. See our retention policy here.
Legal basisWe will approach you initially by email, either directly or through Advance HE. The legal basis for processing this contact data is 6(1)(f ) – necessary for the purposes of legitimate interests pursued by the controller or a third party, except where such interests are overridden by the interests, rights or freedoms of the data subject.
 
The legal basis for processing all information disclosed in the interviews and workshops is 6(1)(a) – consent of the data subject.    The legal basis for secondary analysis of the REC Survey data is 6(1)(f ) – necessary for the purposes of legitimate interests pursued by the controller or a third party, except where such interests are overridden by the interests, rights or freedoms of the data subject, and
6(1)(a) – consent of the data subject. For the latter, we are assuming that providers have made survey respondents aware of secondary analysis and they have given consent.
 
Interviews, workshops and secondary analysis of REC Survey data may require processing data on special categories of data, e.g. ethnicity. The legal basis for processing this information is 9(2)(a) – Explicit consent of the data subject.
StorageData received will be stored on SharePoint (Microsoft 365) – Each institution will have a private Document Centre set up, access will only be available to the individual at the institution and the Shift Insight project team. Each document centre is created using a security group, denying access to any users not within that group. All data is stored on UK servers.
Sharing with other organisationsWe are not planning to share transcripts or recordings of the interviews or workshops, or the raw data from secondary analysis of the REC Charter surveys.
