This privacy notice relates to how your personal data will be used as part of the Good Practice Exchange – State of the Nation Commission undertaken by independent market research agency Shift Insight on behalf of UKRI with The Careers Research and Advisory Centre (CRAC) who manage Vitae.

PurposeInformation will be collected by independent market research agency Shift Insight, in order to produce a report for UKRI.
 
The aim of this project is to map current and past activity to improve the UK culture and environment across the R&I landscape, with a view to UKRI using this information to underpin a future Good Practice Exchange.
 
Shift Insight will collect the following information, either during recruitment or during the workshops:
 
–          Your name and contact details
–          Details of your job role
–          Your personal characteristics: gender, ethnicity, sexuality, whether you are living with a disability
 
This information is needed to ensure that the study includes individuals representing a range of demographics and experiences. Sensitive data is collected to ensure that the topic of this research is covered appropriately.
 
Shift Insight will record and transcribe the workshops. Any personal information you disclose as part of the workshops will be recorded. The recording is necessary to ensure analysis is carried out effectively and the views of participants are captured accurately by Shift Insight.
 
The transcript of the workshops will be pseudonymised and your name and other data which might identify you will not feature in reporting. If you take part in workshop 4, your organisation will be credited but individual comments will not be attributed to you or your organisation.
 
The recordings themselves will not be shared with UKRI but may be shared with analysis partners The Careers Research and Advisory Centre (CRAC) and UKRN.
 
They will only be used for analysis purposes. They will only be held for as long as necessary, to enable Shift Insight to analyse the results as part of the project. See our retention policy here: https://shift-insight.co.uk/our-retention-policy/
 
 
Legal basisWe will approach you initially by email. The legal basis for processing this contact data is 6(1)(f ) – Necessary for the purposes of legitimate interests pursued by the controller or a third party, except where such interests are overridden by the interests, rights or freedoms of the data subject.
 
The legal basis for processing all information disclosed in the ‘Expression of Interest’ form and workshops is 6(1)(a) – Consent of the data subject.
 
The ‘Expression of Interest’ form and workshop also involve processing data on special categories of data, e.g. ethnicity. The legal basis for processing this information is 9(2)(a) – Explicit consent of the data subject.
StorageData input in the Expression of Interest form will be shared via Microsoft Forms. Data for Microsoft Forms is stored in Europe. It will also be saved by Shift Insight as a SharePoint document in Office 365.
 
Sharing with other organisationsFor analysis purposes transcripts will be shared by Shift Insight, The Careers Research and Advisory Centre (CRAC) who manage Vitae, UKRN via sharepoint
